Position: Assistant Project Manager/Document Controller
Tanjung Aru Eco Development Project
 
Reporting to: Project Director
 
Location: Kota Kinabalu, Sabah, Malaysia
 
Basis: Full time (anticipated project duration approximately 3 years)


Role 

Reporting to the Project Director, The Assistant Project/Document Controller Manager will be required to assist with the management of contractor drawings and documents. The person will be responsible for tracking the review of these documents by the F+G PM team and the multi-disciplined consultant team (under the direction of the F+G PM team) responsible for the management of this large mixed use reclaimed land development.

 

You will assist with the development of document control systems for the project and will be responsible for managing the logging, distribution, following up and returning of documents on the project. An electronic document management system will be utilised.

 

In addition to this you will provide assistance to the F+G PM team, supporting with the implementation of project management systems to manage the scope, time and cost aspects of the project.

 

The candidate shall demonstrate the following:

•Suitable construction, property or engineering degree with minimum 5 years professional experience

•Experience in document management for large scale projects preferred  – either as a consultant or contractor

•Site based construction team experience beneficial

•Good communication skills required – both written and verbal as the role will require coordination with the PM team, consultant team and the main contractor team.

•Structured approach to document control and or project management systems with demonstrated use of document and or project management.

•Self-motivated with the ability to work independently while also coordinating with the project team to ensure an aligned approach

Responsibilities  

The responsibilities associated with this position include, but are not necessarily limited to the following:

•Development, management and reporting on the document management systems for the project.

•Assisting with the development and implementation of an appropriate project or programme management framework, including participation with the necessary review processes as required.

•Appraising options and submitting to the Project Manager for approval

•Assisting with the development of an appropriate value management strategy

•Manage the change management process and controlling changes following approval

•Determining and managing risks to the project

•Managing the project budget, including risk allowance

•Co-ordinating and fostering teamwork

•Managing the site delivery team’s performance of delegated responsibilities

•Implementation of the formal reporting arrangements on project progress

•Defining criteria for control and management of the project and the implementation of appropriate actions

•Assisting the site delivery team in the resolution of problems

•Receiving and reviewing detailed reports on the project from the site delivery team

•Ensuring the site delivery team receives the necessary stakeholder decisions on time

•Establishing with the site delivery team a common approach to major issues that arise

•Establishing a mechanism to ensure regular dialogue with contractors to promote problem solving, team working and risk-sharing

This position requires all round professional ability and self-motivation.  You will be required to assist with the direction of meetings, introduce wider discussion and be responsible for those tasks assigned to you by members of the project team.  You will be required to perform duties diligently to the quality standards set by the Company and conform to the Company’s policies and business systems and be committed to their implementation and continuous improvement at all times.

The Assistant Project Manager should be equipped to:

•Manage and coordinate the inputs of project stakeholders to ensure the successful delivery of the project

•Assess and resolve site planning and coordination issues

•Apply quality management principles and processes

•Apply risk assessment and management principles and processes

•Network effectively, negotiate well and influence people, broker relationships with stakeholders within and outside the project

•Be aware of the broader perspective and how it affects the project

Qualifications/skills  

You should possess a degree or trade qualifications in a construction related discipline and have a minimum of five years relevant work experience.
